HybridWhat you will do
The Executive Assistant is responsible for providing comprehensive administrative support to the VP, Kenvue R&D Integration Management Office (IMO) including managing a complex business calendar, coordinating Research & Development IMO meetings, collecting and consolidating leadership data, organizing confidential files and coordinating travel arrangements. You will also be responsible for tracking action items and following up on activities of IMO.
Key Responsibilities
Develop and maintain effective communication channels with teams and stakeholders.
Coordinate and manage complex business calendar for the VP, Kenvue R&D IMO to include scheduling appointments
Coordinate all travel arrangements for the VP, Kenvue R&D IMO and process all expense reports on time
Conduct research and prepare reports, presentations, and correspondence.
Assist with project management and ensure deadlines are met.
Maintain confidentiality and handle sensitive information with discretion.
Collaborate with other assistants and support staff to ensure smooth operations.
Provide exceptional customer service and support to all stakeholders.
Continuously seek ways to improve processes and procedures.
Manage and prioritize all communications, including phone calls, emails, correspondence, mail, and faxes for the VP, Kenvue R&D IMO
Maintain accurate and confidential records and files
Interact with various levels of management and build strong relationships with EAs of other management team members
Utilize and innovate on current technology platforms to improve productivity and efficiency
What We Are Looking For
Required Qualifications
Minimum of 4-6 years of experience in a related role.
Associates Degree or equivalent education level.
Ability to work independently and as part of a team.
Strong problem-solving and critical thinking skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
Proven ability to work collaboratively as part of a team
Exceptional communication skills (both written and verbal)
Ability to work with a high sense of urgency while maintaining a high degree of professionalism
Strong organizational skills and attention to detail
Ability to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, high-profile, and rapidly changing environment
Proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook)
Experience working with procurement systems, travel systems, and vendor systems (Workday, Concur, Apex, Totality, eMP/Ariba, ADP, etc.)
Experience managing multiple calendars via Outlook
Ability to handle medium-sized internal meeting logistics
Desired Qualifications
Excellent written and verbal communication skills.
Exceptional organizational and time management skills.
Proficient in Microsoft Office Suite and other relevant software
