What you will do

We are looking for a highly proactive and hands-on Sales Assistant to support our Sales organization in Portugal. This role combines office management, executive assistance, and employee support, acting as a key point of reference for both the Sales Head of Portugal and the wider team.

This person will be the go-to contact for practical, operational, and office-related matters, ensuring smooth day-to-day operations and allowing the Sales leadership team to focus on business priorities.

Key Responsibilities

Executive Assistant Support (Commercial Director Portugal)

  • Provide direct executive support to the Sales Head of Portugal, including calendar management, meeting coordination, travel arrangements and expense management

  • Act as a trusted liaison between the Sales Head, internal stakeholders, and external partners

  • Collaborate with presentations, reports, and meeting materials related to Sales activities

  • Follow up on action items and support prioritization of key initiatives

Office Management & Operational Support

  • Take ownership of office management activities, ensuring a well-organized, welcoming, and efficient workplace

  • Coordinate with internal departments (HR, IT, Finance, Facilities) and external vendors when needed

  • Support office logistics, supplies, meetings, and events for the Sales team

  • Actively identify opportunities to improve office processes and day-to-day operations

  • Local payments and reporting to Portugal Bank

  • Manage RIM and local contracts

  • Manage office PO’s

Sales Team & Employee Support

  • Act as the first point of contact for employees needing practical or office-related assistance

  • Support onboarding of new joiners within the Sales team (logistics, access, coordination with HR/IT)

  • Assist the Sales team with administrative and coordination tasks

  • Foster a positive team experience by proactively anticipating needs and resolving issues

Health & Safety

  • Coordinate internal and with external partners the management of health and safety in Portugal
