What you will do

The Executive Assistant is responsible for providing comprehensive administrative support, including managing communications, scheduling, travel arrangements, and expense reports. You will handle confidential matters with discretion, coordinate meetings, prepare reports, and maintain an organized office environment:

Key Responsibilities

  • Orchestrate seamless daily operations by anticipating executive needs and proactively managing complex schedules with precision, including maintaining and updating calendars and coordinating meetings and appointments efficiently.
  • Serve as the pivotal communication hub by managing and prioritizing incoming communications to ensure timely responses and appropriate delegation, while crafting clear and compelling correspondence that enhances executive presence internally and externally.
  • Innovate organizational systems by implementing tailored digital tools to streamline workflow and optimize time management, maintaining an organized and efficient office environment to support daily operations.
  • Coordinate high-impact meetings, events, and travel arrangements, ensuring every detail aligns with strategic priorities, including preparing detailed expense reports and processing invoices promptly.
  • Act as a trusted confidant and problem-solver by handling sensitive and confidential information with discretion and professional judgment, organizing and maintaining confidential files and records to ensure data accuracy and security.
  • Leverage 4-6 years of experience to mentor junior administrative staff, fostering a collaborative and efficient support environment, and provide proactive reminders to staff about upcoming events, deadlines, and deliverables.
  • Take initiative in following up on pending issues and communicate status updates to management, while serving as the primary point of contact for vendors and visitors, representing the office professionally.
  • Prepare, edit, and proofread reports, presentations, and memorandums with attention to detail.

What we are looking for

Required Qualifications

  • 4 to 6 years of proven experience in administrative or executive assistant roles.
  • High School diploma or equivalent; additional certifications in office administration are a plus.
  • Excellent organizational and multitasking skills with a keen eye for detail.
  • Ability to handle confidential information with integrity and discretion.
  • Effective communication skills, both written and verbal, to interact with diverse stakeholders.

Desired Qualifications

  • Demonstrated mastery of executive support with hands-on experience in dynamic office environments.
  • Proficiency in advanced calendar management and digital communication platforms, enabling proactive and agile support.
  • Strong proficiency in word processing, spreadsheet, and presentation software.
  • Demonstrated ability to manage calendars, coordinate meetings, and arrange complex travel itineraries.
  • Experience in preparing and managing expense reports and financial documentation.
  • Professional demeanour with strong interpersonal skills to greet and assist visitors and vendors.
  • Innovative mindset with the ability to identify process improvements and implement creative solutions independently.
  • Resilience and adaptability in fast-paced settings, maintaining composure and delivering excellence under pressure.
  • Proactive problem-solving skills and the ability to work independently with minimal supervision.
  • Strong interpersonal skills with a flair for diplomacy, capable of managing sensitive information and diverse stakeholder relationships.
